Job Title: Events Assistant - Contract Role
Outside IR35 £120 per day
Location: Flexible working with 2 days per week in a London-based office (plus travel to a European city in early June).
Contract Duration: 9 Weeks (Mid-April - Mid-June)

About the Role
We are seeking a highly experienced and professional Executive Assistant to join on a short-term contract, supporting the delivery of a major international technology event. I will need to see good hands on experience on your CV in a similar events assistant role, ideally for a large scale, global, event. Large events experience rather than small pop up events experience is what is required here
You will play a key role in the planning and execution of a high-profile industry summit, acting as a primary point of contact for senior stakeholders and guest speakers. This role requires a polished, detail-oriented professional who can operate confidently in a fast-paced, high-visibility environment.

Key Responsibilities
Speaker Management
  • Maintain and manage a comprehensive speaker database (including internal, client, and partner speakers)
  • Collect and track key speaker information such as job titles, headshots, and company assets
  • Manage speaker registration, legal documentation, and presentation submissions
Team Support
  • Assist with updating event web pages and speaker information
  • Organise and manage calendars, documents, and shared files
  • Provide administrative support to senior stakeholders across marketing and event teams
  • Track and organise information using collaborative digital tools
Speaker Liaison
  • Deliver a high-touch experience for guest speakers, managing logistics, rehearsal schedules, and requirements
  • Act as a key point of contact, ensuring a smooth and professional speaker experience
Event Support (On-site)
  • Travel to a European location to support live event delivery
  • Assist with speaker rehearsals and coordinate with technical teams
  • Provide on-site support during event days, ensuring sessions run smoothly
  • Troubleshoot and resolve any issues in real time

Required Skills & Experience
  • 10+ years' experience as an Executive Assistant or in a similar role
  • Strong organisational and administrative skills with exceptional attention to detail
  • Excellent communication skills, with the ability to engage confidently with senior stakeholders and executives
  • Proven ability to manage multiple priorities in a fast-paced environment
  • Ability to work both independently and collaboratively
  • Flexible and adaptable approach to changing requirements
  • Willingness and availability to travel for event delivery

Desirable Experience
  • Experience supporting events or working in event delivery environments
  • Exposure to the technology sector
  • Familiarity with collaborative workplace tools (e.g. cloud-based document and workflow platforms)
