Operations & Finance Coordinator (Temp-to-Perm Potential)
Location: Paddington, London (Office-based Tuesday-Thursday, flexibility for the right person)
Hours: 9:00am - 6:00pm
Salary: £150-180 per day DOE
Start Date: Ideally 14th/15th July to allow a 1-3 day handover before the current employee leaves on 16th July.
Company
A growing cosmetics and lifestyle brand specialising in products including candles and hand creams is looking to hire a operations and finance coordinator. Established around 4 years ago, the business is experiencing strong growth and is now scaling its operations.
The business sells through both e-commerce and B2B channels, supplying independent retailers as well as major retailers including Selfridges. As a product-based business, accuracy is essential, as larger retailers have strict delivery requirements and may issue financial penalties for errors.
The Role
This is a varied position combining approximately 70% operations and 30% finance. The successful candidate will ensure customer orders are processed accurately from receipt through to delivery while supporting transactional finance processes.
Initially, this is required as an urgent backfill while recruitment takes place, with the potential for the role to become longer term or develop into a broader position.
Key Responsibilities
Operations (70%)
  • Process B2B sales orders within NetSuite.
  • Manage customer orders from placement through to successful delivery.
  • Liaise with warehouse partners to ensure timely fulfilment.
  • Monitor orders throughout the process, typically involving 5-6 touchpoints per order.
  • Respond to customer queries via email and telephone.
  • Work closely with the Sales Manager once sales have been handed over.
  • Maintain exceptional attention to detail when updating NetSuite and customer records.
Typical volume:
  • Approximately 20-30 active sales orders at any one time.
  • Around one new sales order processed each day.
Finance (30%)
  • Post transactional finance entries.
  • Process B2C Shopify transactions.
  • Raise and post invoices.
  • Support month-end transactional activities (typically one day per month).
  • Assist with day-to-day finance administration.
Systems
  • NetSuite (preferred but not essential)
  • Shopify (B2C sales)
Ideal Background
Candidates should ideally have:
  • Experience in transactional finance or finance administration.
  • Excellent attention to detail.
  • Strong communication skills.
  • Confidence liaising with customers by phone and email.
  • The ability to ask questions and escalate issues early.
  • Experience within a product-based business such as FMCG, beauty, retail or manufacturing.
  • Experience working alongside warehouses or fulfilment operations would be highly advantageous.
  • Sales order processing experience is desirable but can be taught through documented processes.
